Job Description:
The Zoning Administrative Assistant performs a variety of administrative support duties for the Planning Division within the Johnson County Planning, Housing and Community Development Department.
This position is crucial in maintaining accurate records, databases, and filing systems related to zoning and land use permits and applications.
The role also involves coordinating with staff to proofread and prepare meeting packets for the Planning Commission, Zoning Boards, and Board of Zoning Appeals for paper and web distribution, preparing agendas, notices of public hearings, notifications of pending items, and producing various routine to complex correspondence, reports, and other documents as needed to support the Division.

Essential Duties and
Responsibilities:
Support the operations of the Planning Division by assisting staff with zoning-related administrative tasks and ensuring efficient office operations; answers phones, refers calls and customers; greets customers and gives standard information in response to phone, email, or in-person inquiries; serves as a subject matter expert; provides solutions and recommendations for complicated issues; tracks and monitors calls to provide quality control; provides training to other staff.
Types and proofreads a variety of routine to complex documents, including general correspondence, reports, memos, letters, forms, and statistical charts; creates and maintains division files; attends meetings as a recording secretary, ensuring accurate records; coordinates and participates in the preparation and processing of agendas, ensuring staff reports are typed, complaint with the Americans with Disabilities Act, and meeting packets are complete; coordinates the distribution of meeting packets; organizes and maintain zoning documents, including zoning maps, legal documents, and other record; coordinates the publication of legal notices to the legal records; updates the agenda tracking list for the Planning Commission and Zoning Boards; maintains the calendar of meeting dates and deadlines for zoning board hearing dates; creates and maintains files both public and confidential; inputs data into systems; creates and distributes reports and analyzes data to determine problems or trends; initiates written or oral correspondence; schedules appointments, meetings, and other functions.
Processes zoning applications and create project files; coordinates the mailing of certified property owner notices for zoning hearings; assists customers with completing routine and non-routine forms when appropriate; collects forms and any supporting documents; reviews for accuracy and completeness; obtains client information as well as signatures on required permission and consent forms; explains fees, policies, and payment options.
Based on information received, researches account information; makes determination on coordination of services/resources, and organizes referrals to current staff or outside agencies; copies, collates, and routes forms to appropriate locations or staff.
Calculates and collects fees for planning applications; calculates and collects fees for payment; resolves a variety of non-routine customer complaints, problems, and billing disputes; may provide follow-up to ensure customer satisfaction.
Completes daily audit and reconciliation of cash and checks collected, and prepares deposit.

Minimum Job Requirements:
High school diploma or equivalent and one year of customer service or related experience are required.
May require KS/MO driver's license, depending on department or agency.
Johnson County Government requires reference/background screening for all positions.
Specified criteria may vary by Department/Agency.

Physical, Environmental, and Special Working Conditions:
Within sixty (60) days of hire, employees (select DHE and EMS positions) must produce proof of immunization, proof of immunity, proof that immunization is medically contraindicated, submit a written objection to immunization based upon a sincerely held religious belief, or receive vaccination for the following:
Measles, Mumps, and Rubella (MMR); Tetanus Diphtheria and Acellular Pertussis (TDAP); and Varicella (Chickenpox).
All County employees may be called upon to assist other departments in a declared emergency situation.

Estimated Salary: $20 to $28 per hour based on qualifications.
